Preparing a landlord brief

A useful landlord brief explains the property, the support needed and the intended timescale. Unknown details can be marked for follow-up.

What belongs in an initial brief?

Include the broad area, property type, approximate number of bedrooms, whether it is occupied and the service required. Explain the timescale and the best way to contact you. If changing agencies, mention any existing appointment or notice period that may affect the handover.

What needs checking before an appointment?

The agency needs to establish who can instruct it and what permissions or restrictions apply. Depending on the property, this may involve ownership or representative authority, co-owner approval, lender or lease conditions, licences and relevant safety records. A declared answer is a starting point, not verification.

What should the agency make clear?

The proposed service, responsibilities, charges, duration and ending arrangements should be in writing. Agree communication, repair spending authority and any handover needs. Do not assume that a first conversation appoints the agency.

Do tenant details belong in the first brief?

An initial discussion normally needs property and service information, not private tenant records. Where records are later needed, agree the purpose, recipient and appropriate transfer channel. Keep unrelated identity, financial and health information out of the brief.
